EVENT COORDINATOR

EVENT COORDINATOR // Cumming, Georgia

The Event Coordinator will work with the Senior Event Planner to act as lead contact for client interaction and oversee events within their region and project scope. This will include managing events and staff, ensuring that events run smoothly from first contact with client to close of event and post event recap. The main goal of this position is to ensure each event exceeds our client’s expectations.

 

Responsibilities:

  • Coordinate staffing requirements with staffing team.
  • Complete google drive based spreadsheets to ensure all team members have necessary staff details.
  • Coordinate shipping/delivery of premium items for each activation.
  • Work with Warehouse Manager to plan for shipping/delivery of display components.
  • Work with Vehicle Coordinator to plan for EMI contracted vehicles arrival onsite.
  • Ensure on site event manager receives all necessary event details: including shipping information, on site contacts, data capture method (source code if BRC), schedule, set-up/strike dates and times, vehicles to be used, and any other details necessary to event success.
  • Create Run of Show document for on Site event anager.
  • Call event manager on first day of set-up, first day of activation and maintain contact throughout duration of event to answer any questions and ensure event is running smoothly.
  • Notify Staffing team of any necessary staff replacement.
  • Monitor counts of BRCs and premium items during duration of program.  Order more as necessary.
  • Complete daily recaps as necessary.
  • Validate lead generation submittal or upload.
  • Receive post event internal and external recaps and pictures from event manager.
  • Edit post event recap and resize photos as necessary.
  • Send external recap and photos to client before end of day on business day following close of event.
  • Evaluate post event internal recap to discuss staffing concerns with Staffing team.
  • Assist with training of event managers and product specialists.
  • Monitor staff for potential event managers and product specialists.
  • Attend weekly conference calls to discuss upcoming events and recap completed programs.
  • Build, develop and grow any business relationships vital to the success of each project.
  • Develop relationship with client to discuss future event opportunities.
  • Coach, mentor, motivate and supervise event management staff.
  • Act as onsite event manager, product specialist or promotional specialist when necessary.

  • Strong negotiation skills are a plus.
  • Be able to travel when necessary.

 

Education and Qualification

  • Bachelor’s degree in a business management or marketing related field or equivalent experience.
  • Minimum two years’ experience in on site event management.
  • Minimum one year experience managing staff.
  • Strong familiarity with Google based applications, including calendar and Google docs.
  • Strong familiarity with Microsoft Outlook, Excel, Word and Power Point.
